About the Role
Provide quality executive administrative support to the Victorian Medtech Skills & Devices Hub (VMH) Directors and assist the VMH Project Manager to ensure effective administrative operation and support with community connections. The Executive Assistant/Administration Officer also plays a key supporting role in provision of a wide variety of services including responding to general enquiries, arranging venues and catering for meetings and events, supporting the purchasing of stationery and office equipment, and assisting with newsletters and surveys.

Your responsibilities will include:

  • Monitoring emails and screening phone calls, ensuring action is undertaken in a timely manner, and responding to emails as appropriate on behalf of the Directors
  • Managing Directors diaries, including forward planning and ensuring meetings and other commitments are scheduled in a timely manner and in a workable time frame
  • Be responsible for the distribution of surveys and newsletters and maintaining and keeping up to date VMH mailing lists.

Who We Are Looking For
You have excellent time management and organizational skills, with experience in coordinating workflow, prioritizing demands, and adapting to emerging challenges with flexibility. Your ability to exercise sound judgment, maintain discretion, and handle confidential matters demonstrates a high level of professionalism and initiative.

Your strong administrative support experience includes diary management, contact and email organization, and event planning, ensuring smooth and efficient operations. Additionally, your excellent interpersonal, verbal, and written communication skills allow you to build strong stakeholder relationships and deliver high-quality service. You are adept at preparing briefing notes, drafting correspondence, managing agendas and minutes, and producing accurate documents with keen attention to detail

You will also have:

  • Previous experience in Executive and/or Administrative Assistant roles to a senior executive
  • High level of computer skills including extensive experience using an electronic diary management system and a good working knowledge of Microsoft Office applications
  • Ideally, experience in creating newsletters or using email marketing platforms such as Mailchimp, and being acquainted with event management platforms such as Eventbrite or Humantix

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University.
