The Office of the Dean, Faculty of Medicine, Dentistry and Health Sciences is seeking a dedicated Executive Support Officer to assist in the smooth operation of the Dean's office. Reporting to the Executive Assistant to the Dean, you will handle daily administration and provide crucial support to senior leadership.
Your responsibilities will include:
- Assisting with diary management, meeting support, and travel arrangements
- Processing finance requests and reconciling expenses
- Managing records and ensuring the Dean has meeting papers prepared
- Providing general administrative support as needed.
You may be a great fit if:
- You have excellent organisational and time management skills, with strong attention to detail.
- You are proficient in MS Office suite and other system.
- You are able to exercise sound judgement, maintain confidentiality, and communicate effectively with stakeholders at all levels
You may also:
- Have experience in higher education, health services or research sectors
- Hold a tertiary qualification or equivalent experience
- Have familiarity with AI systems like MS Copilot

Your new team – Faculty of Medicine, Dentistry and Health Sciences
The Faculty of Medicine, Dentistry & Health Sciences is made up of 6 schools. It has an enviable research record and is the University of Melbourne’s largest faculty in terms of management of financial resources, employment of academic and professional staff, teaching of undergraduate and postgraduate (including research higher degree) students and the conduct of basic and applied research. The Faculty’s annual revenue is approximately $750m with approximately $400m income related to research activities. The Faculty has a student teaching load in excess of 8,500 equivalent full-time students including approximately 1,500 research higher degree students. The Faculty has approximately 3,000 staff comprising 800 professional staff and 2,200 research and teaching staff (plus approximately 4,000 honorary staff).
