As the Executive Assistant to the Dean, you will play a pivotal role in ensuring the seamless operation of the Office of the Dean. Providing high-level, confidential executive support, and act as the first point of contact for internal and external stakeholders. With a keen eye for detail, you will prepare briefing materials, facilitate the smooth flow of information, and support key committees and strategic initiatives. Your ability to exercise sound judgement, discretion, and professionalism will be essential in this highly visible position. Working closely with the Dean, Deputy Dean, and Executive Director, you will contribute to the efficiency of the Faculty’s leadership, ensuring the Dean is fully supported in all aspects of their role.
Your responsibilities will include:
- Managing the Dean’s schedule, diary, and correspondence, including coordinating meetings, invitations, and travel arrangements while ensuring timely and efficient communication.
- Preparing briefing materials, correspondence, and meeting papers, including compiling a daily briefing pack and ensuring all documents requiring the Dean’s signature are complete and well-prepared.
- Liaising with internal and external stakeholders, maintaining key contacts, and supporting the smooth flow of information across the Faculty to facilitate the Dean’s engagements and priorities.
- Providing executive officer support for high-level committees and meetings, including agenda preparation, minute-taking, and tracking action items, while contributing to strategic projects and events led by the Office of the Dean.

You may also:
- Hold a degree with subsequent relevant experience or an equivalent combination of education, training, and professional expertise.
- Have proven experience providing executive-level administrative support, including diary and correspondence management, meeting coordination, and high-level stakeholder engagement.
- Demonstrate an ability to organise complex meetings and events, including scheduling, preparing briefing materials, and acting as Executive Officer for senior leadership committees.
- Possess strong communication skills, with proficiency in drafting correspondence, preparing reports, and handling sensitive information with discretion.
