About the Role
The Administration and Events Assistant at the Peter Doherty Institute for Infection and Immunity supports efficient daily operations, handling key administrative functions such as enquiry management, event support, financial administration, and travel arrangements. Reporting to the Operations and Projects Coordinator, this role works closely with both Directorate and Marketing teams to assist with event coordination, promotional materials, and intranet updates. As a public-facing position, it requires high-level customer service, professionalism, and the ability to liaise effectively with a diverse range of stakeholders.
Your responsibilities will include:
- Provide administrative support to ensure efficient running of the day-to-day activities within the Directorate team
- Manage and maintain the Doherty Institute room booking and venue hire system including meeting rooms, seminar rooms and the auditorium; assist with external bookings of the Doherty facilities.
- Support the Directorate team in coordinating the delivery of programs and events in collaboration with relevant staff and stakeholders.
- Provide administration and event support to Institute events as required. This will include creation of flyers, event listings, management of webinars, creation of run sheets, and updating of intranet calendars.
Who We Are Looking For
The successful candidate will possess excellent communication and interpersonal skills with a strong customer focus, demonstrating the ability to engage with diverse stakeholders effectively. They are highly organised, able to prioritise tasks and meet deadlines in a fast-paced environment, and can work both independently and collaboratively with flexibility and adaptability.
You will also have:
- Completion of a diploma level qualification with relevant work experience or completion of a certificate IV with relevant work experience, or an equivalent combination of relevant experience and/or education/training.
- Excellent communication and interpersonal skills including a strong customer focus with the ability to interact with a diverse range of stakeholders.
- Well-developed professional organisational skills including the ability to coordinate workflow, prioritise tasks and meet deadlines in a fast paced environment, whilst paying attention to detail.

This role requires that the successful candidate must undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University. In the case the selected candidate doesn't have a valid Working with Children Check, they will be able to apply for the WWCC as part of the initial onboarding procedures.
