About the Role
The Project Specialist (Business Systems) supports the development, implementation and ongoing support of business systems for student placements and Work Integrated Learning programs, enhancing both student experiences and administrative efficiency. Working closely with the Senior Lead, Business Systems, and various project teams, the role helps design, deliver and maintain a sustainable enterprise placement management system across academic divisions. This includes gathering faculty requirements, providing training and support, and contributing expertise to ensure effective system rollout and ongoing user engagement.
Your responsibilities will include:
- Actively involved in the operational delivery of support and services to further mature and enhance capability and usage of Work Integrated Learning programs (Sonia, Neota and Info hub) as enterprise placements administration system that supports the consistent delivery of student placements across the University.
- Conduct workshops with academic divisions to understand their placement process and requirements, utilising this information to contribute to the design and roll-out of a fit for purpose enterprise placement platform to these divisions.
- Provide training to academic divisions to ensure divisions are comfortable using Work Integrated Learning Systems to manage their placement process.
- Provide subject matter expertise , and advice and support to academic divisions in leveraging systems and processes to optimise the delivery of student placements at scale, with a focus on improving the student experience
Who we are looking for
The ideal candidate excels in building and maintaining strong professional relationships with diverse stakeholders, ensuring seamless and responsive service delivery. They possess excellent interpersonal and communication skills, with the ability to motivate, persuade, and negotiate effectively. With strong analytical and problem-solving abilities, they demonstrate sound judgment and the capacity to develop and implement innovative solutions independently.
You will also have:
- A relevant discipline such as information systems, information technology, business analytics or data science with subsequent relevant experience in placements administration, or an equivalent combination of relevant experience and/or training.
- Demonstrated experience, knowledge, and expertise in using Work Integrated Learning Programs (Sonia, Neota, Infohub) as enterprise placements administration systems and an excellent understanding of the placement administration cycle, preferably acquired through working in a function with responsibility for student placements.
- Demonstrated ability to review design and use of systems, tools and processes used to support student placements administration, including the ability to make recommendations for improved utilisation of systems, and associated process improvements.
- Demonstrated understanding of business practices and ability to analyse business data, identify opportunities to rethink existing practice and workflows (i.e. outlining problem, opportunities and solution) as well as propose and report on system enhancements.

This role requires the successful candidate to undergo and maintain an up-to-date Working with Children Check. This is essential to guarantee a secure environment for all individuals at the University.
